Airbnb Check-In Tips: How to Create a Smooth Arrival for Every Guest

Ask experienced Airbnb hosts what guests remember most, and you’ll probably hear the same answer over and over again: the first impression.

Check-in sets the tone for the entire stay. If guests struggle to find your property, can’t get inside, or have unanswered questions after arriving, it’s difficult to recover from that experience. On the other hand, when check-in feels simple and welcoming, guests immediately begin relaxing.

After more than 14 years as an Airbnb Superhost and Airbnb Ambassador, I’ve learned that a smooth arrival doesn’t happen by accident. It’s the result of thoughtful planning and clear communication. Fortunately, creating a great check-in experience is easier than many new hosts realize.

Send Check-In Instructions Before Guests Ask

One of the easiest ways to reduce stress is by sending detailed arrival instructions before your guests begin traveling.

Include your property’s address, parking information, entry instructions, Wi-Fi details, and your preferred way to communicate if they need assistance.

Guests appreciate knowing what to expect before they pull into the driveway.

Use Photos Whenever Possible

A picture really is worth a thousand words.

Take photos showing the driveway, parking area, entrance, lockbox or keypad, and any landmarks that make your home easier to locate. Visual directions eliminate confusion far better than paragraphs of written instructions.

Self Check-In Makes Travel Easier

Many guests experience delayed flights, traffic, or unexpected travel changes. Offering self check-in gives them flexibility while reducing the pressure on your own schedule.

Welcome Guests Into a Clean Space

No amount of friendly communication can compensate for a home that isn’t ready.

Complete your cleaning checklist before every arrival. Double-check the bathrooms, empty trash cans, replace linens, restock supplies, and make sure everything works exactly as expected.

Guests notice cleanliness immediately.

Leave the Lights On

If guests are arriving after dark, turn on exterior lights before they arrive.

A well-lit entrance makes finding the property easier while creating a welcoming first impression. It also improves safety.

Make Wi-Fi Easy to Find

One of the first questions many guests ask is, “What’s the Wi-Fi password?”

Save everyone time by placing the network name and password somewhere obvious, such as a welcome book, framed sign, or refrigerator magnet.

Create a Comfortable First Hour

Think about what guests need during their first hour after arriving.

Fresh drinking water, coffee, tea, clean towels, extra blankets, and a few snacks help travelers settle in quickly after a long journey.

A thoughtful welcome basket can make an especially memorable first impression.

Provide a Simple Welcome Guide

Your welcome guide doesn’t need to be complicated.

Include house rules, emergency contacts, appliance instructions, checkout information, nearby restaurants, grocery stores, pharmacies, and local attractions.

The easier guests can find answers themselves, the more relaxed they’ll feel throughout their stay.

Check In Without Hovering

I like sending a short message about an hour after guests arrive.

Something as simple as, “Just checking to make sure everything looks good and you found everything okay,” lets guests know you’re available without interrupting their vacation.

Most guests appreciate knowing help is available if they need it.

Think Like a Guest

Before every reservation, walk into your property as though you’ve never seen it before.

Could you find the bathroom easily? Is the thermostat obvious? Where would you plug in your phone? Can you figure out how the television works?

Hosting becomes much easier when you regularly view your property through fresh eyes.

The best Airbnb experiences don’t begin with beautiful photographs. They begin with confidence.
